Next up in our mastering Microsoft Word series, we’re taking a look at how you can add headers, footers, and page numbers. No matter what the document you’re publishing might be, these are an essential requirement to ensure your work not only looks professional but is easy and engaging to read and follow.
So, if you are looking to elevate your document, we’ve broken down these key features in a simple step-by-step guide…
How to insert a header
Headers are the top section of the page and can include anything from text and page numbers to images and logos. Inserting one into your document is very simple:
Step one
Double-click the top of your page with the left mouse button. This will open the header section and allow you to add text and other elements.
Step two
To style it, navigate to the ‘Home’ tab, where you will be able to adjust the font, size and colour, just as you would in normal text.
Step three
If you want to use a set template, click ‘Insert’ in the top menu and navigate to ‘Header’. Here, you will find various templates to choose from, including some pre-designed styles. Once you have chosen yours, it will be automatically applied to your document, but you can still edit and customise it as needed.
Step four
When you are done editing, double-click anywhere outside the header section. If you want to remove a header, simply navigate to ‘Insert’ and then ‘Header’ where you will see the option ‘Remove Header’. Alternatively, delete the text inside the header and double-click outside the header area to close it.

How to insert a footer
Footers are very similar to headers but appear at the bottom of the page and are most commonly used to list the page numbers.
Step one
To access the footer options, double-click the bottom of the page. Here, you will be able to add your text as needed.
Step two
You can customise your text just as you would your normal body, allowing you to change the font, style, size and colour.
Step three
To utilise a set template, navigate to ‘Insert’ and then ‘Footer’. You will be able to select one of the various options, which will then be applied to the entire document. Just like the header, you will be able to personalise as required.
Step four
To close your footer, double-click anywhere outside the section. You can also remove it by following the same steps as the header above or by deleting the content within the footer section.

Step one
To add page numbers, navigate to the ‘Insert’ tab and then ‘Page Number’. Choose the location you would like them to appear and then select a template, which will add numbers throughout the document.
Step two
To customise your page numbers, click ‘Insert’, then ‘’Page Number’ and ‘Format Page Numbers’. Here, you will be able to adjust the numbering style, such as Roman Numerals, alphabetic, etc. You can also highlight the number and change the font, size and colour.
Step three
If you no longer need page numbers, you can remove them by going to ‘Insert’ and then the ‘Page Number’ menu, where you will find ‘Remove Page Numbers’.
